Terms, Conditions, & Studio Policies

(Please note, reference to "the studio" or "studio" in this document refers to Victoria Dolloff and shop.victoriadolloff.com)

Overview

By placing an order through Victoria Dolloff, shop.victoriadolloff.com, or by approving an invoice for custom work, the client agrees to these Terms & Conditions, including all policies related to proofs, revisions, production timelines, cancellations, intellectual property, and limited-use artwork rights.

Victoria Dolloff (shop.victoriadolloff.com) operates as a small, artist-led business. Timely communication, accurate copy submission, and respect for review timelines are essential to keeping each project on schedule.

Product categories

Orders may fall into one of the following categories:

  • Semi-custom & day-of stationery: existing collection designs personalized with the client’s wording, colors, and/or selected options.
  • Bespoke stationery: fully tailored invitation and paper suites created from concept through final production, often involving original watercolor or other one-of-a-kind artistic elements.

Order placement and payment

Full payment is required at checkout for semi-custom and day-of paper orders unless otherwise stated in writing. For custom and bespoke projects, work begins only after the required deposit or first invoice has been paid.

Custom and bespoke proposals, estimates, and production timelines are valid only for the time period stated in the quote. Pricing may be revised if project scope changes, including but not limited to quantity changes, format changes, added pieces, upgraded print methods, handwork, rush requests, or expanded revision requests.

Copy submission deadline

Clients must submit final wording, names, dates, venue information, guest-facing details, and any other required copy within 14 calendar days of purchase or from the date requested by the studio for the next phase of work.

If copy is not received within 14 calendar days, the order may be canceled at the studio’s discretion. In the event of cancellation for non-submission, a 10% administrative fee will be retained to cover time reserved, onboarding, correspondence, and project setup.

If the studio elects to keep the order open beyond 14 days, the timeline will automatically shift and the original production window is no longer guaranteed.

Proofing and client responsibility

Digital proofs are provided for review prior to print production. Proofs are intended for approval of layout, wording placement, spelling, and overall formatting.

Clients are solely responsible for carefully reviewing all proofs for:

  • Spelling
  • Grammar
  • Dates and times
  • Names and titles
  • Addresses and venue details
  • RSVP information
  • Any other factual or event-specific content

Approval of a proof constitutes final acceptance of all included content and layout. The studio is not responsible for errors that were present in an approved proof.

Revisions

One round of proof revisions is included with semi-custom and qualifying custom orders unless otherwise stated in the proposal or product listing.

A revision round means one consolidated list of changes submitted at one time. Multiple emails, piecemeal edits, or new requests sent after an updated proof has been issued may be treated as an additional round.

The following are commonly considered additional rounds or additional billable design work:

  • Sending multiple rounds of small edits separately
  • Changing direction after an updated proof has already been prepared
  • Requesting new layout approaches not included in the original scope
  • Replacing approved copy with entirely new copy
  • Changing event details after approval
  • Adding new pieces after design has started

Any revision round beyond the included round will be billed at 300 USD per round. Additional design development, new layout directions, new artwork exploration, changes to print method, or a substantial shift in aesthetic direction may be billed separately at a higher custom design rate.

Minor production-required corrections initiated by the studio do not count as a revision round.

Design scope

Semi-custom orders include personalization within the limits described on the product page. This may include wording updates, font selections, colorway selections, and approved option changes, but does not include entirely new artwork, a redesigned composition, or a new concept unless purchased separately.    

Custom and bespoke projects are scoped individually. Any work requested outside the approved scope may require a change order, additional fees, and an updated timeline.

Production timing

Estimated production timelines begin only after all of the following have been received:

  • Payment or deposit
  • Final copy
  • Any requested reference materials
  • Final proof approval

Production estimates are not guarantees. Timelines may be affected by holidays, shipping carrier delays, paper availability, printing schedules, vendor schedules, force majeure events, or delayed client responses.

Rush production may be available for an additional fee and only when confirmed in writing.

Printing, materials, and color variation

Printed color may vary slightly from what appears on a phone, tablet, or computer screen. Variations may also occur due to paper stock, ink absorption, print process, lighting conditions, and natural material differences.

Because paper goods are produced using specialty papers and artisan processes, slight variation in trim, registration, texture, impression, hand-applied elements, deckling, or color is not considered a defect.

Product Shipping and delivery

Once an order has shipped, responsibility for carrier timing passes to the shipping provider. Victoria Dolloff is not liable for delays caused by USPS, UPS, FedEx, DHL, customs processing, weather, labor disruptions, or incorrect shipping information provided by the client.

Clients are responsible for providing accurate shipping details. Returned shipments due to inaccurate addresses may require additional postage, reshipment fees, and replacement production costs where applicable.

Finished Invitation Shipping and delivery

The client is responsible for assembling and stuffing invitation suites, purchasing and applying all postage, confirming postage rates and regulations with their post office, and mailing invitations. The client is responsible for paying for and acquiring all postage. Based on various elements in each invitation suite, regular postage rates may not apply. 

The studio cannot be held liable for damage, loss, delays, or errors that occur during carrier handling and delivery. 

Cancellations

Semi-custom orders may be canceled only before design work, proofing, or production has materially begun. Approved cancellations are subject to the 10% administrative fee described above, and any additional fees for work already completed may also apply.

Custom and bespoke projects are generally non-refundable once creative development has begun, because time has been reserved and design work is created specifically for the client.

Right to refuse service

The studio reserves the right to decline, pause, or cancel a project due to abusive behavior, repeated scope expansion, non-responsiveness, failure to meet deadlines, nonpayment, or requests that conflict with the studio’s creative standards, legal obligations, or ethical boundaries.

The studio can also cancel orders if they do not meet our 50 piece minimum order amount per product (excluding table numbers) and they have somehow bypassed our minimum order system check.

Respect for studio time

The studio is a small, single-artist business. Thoughtful communication is always welcomed, but excessive messaging, repeated urgency created by delayed client feedback, or requests outside business hours do not create an obligation for immediate response.

A respectful and collaborative process allows the highest quality work to be produced for every client.

Return Policy

Because stationery is custom-printed or personalized to order, all sales are final.

The studio does not accept returns, exchanges, or refunds for:

  • Customized or personalized items
  • Approved proofs that later contain client-overlooked errors
  • Slight color variation from screen to print
  • Delays caused by shipping carriers
  • Orders delayed by the client’s late copy submission or delayed approvals
  • Change of mind after production has begun

If an order arrives damaged or there is a verified production defect, notice must be provided in writing within 3 business days of delivery, along with clear photographs of the packaging and affected items.

If the issue is determined to be a studio or manufacturing error, the remedy will be, at the studio’s discretion, replacement of the affected items or a partial store credit. Refunds are not guaranteed and are generally not offered for custom or made-to-order work.

Copyright & Limited Use Policy

Ownership of artwork and design

All artwork, illustrations, layouts, compositions, mockups, proofs, custom motifs, monograms, design concepts, and related creative work remain the sole intellectual property of the studio and artist at all times, whether created for a semi-custom, custom, or bespoke order.      

Purchase of stationery or payment of a design invoice grants a limited license for a single approved personal event use only. It does not transfer copyright, ownership, editable files, source artwork, design files, or reproduction rights to the client.

This policy applies even when a design is customized, heavily edited, or created specifically for one client. Commissioning custom artwork does not constitute a work-for-hire arrangement unless expressly agreed in a separately signed written contract.

Single-use license

Artwork and graphics are licensed for one specific approved use only, such as one wedding suite, one event day paper package, or another single agreed project.

Clients may not, without prior written permission:

  • Reuse the artwork for future events
  • Share files with another printer, stationer, designer, planner, vendor, family member, or friend for reproduction beyond the approved order
  • Alter, trace, recreate, or extract artwork from proofs or finished pieces
  • Use the work for logos, branding, merchandise, websites, social media templates, or resale
  • Claim authorship or ownership of the design

Any additional use, reproduction, relicensing, adaptation, or commercial use requires prior written approval and may be subject to an additional licensing fee.

Portfolio and promotional use

Unless otherwise agreed in writing, the studio reserves the right to photograph, publish, and promote completed work, proofs, artwork excerpts, and finished pieces for portfolio, website, editorial, social, marketing, and promotional purposes.

If a client requires delayed publication for privacy or timing reasons, that request must be made in writing before production begins. Please email studio@victoriadolloff.com for these requests.
